Does it charge per message, or a flat monthly fee?
This is the single biggest difference between clinic messaging tools, and it is rarely on the pricing page. Metered plans bill per AI reply or per conversation, which means your cost rises in exact proportion to how well the tool is working. Worse, most metered plans have a cap — and when a busy clinic hits it mid-month, the AI either stops replying to patients or silently starts costing more. Ask for the price at your realistic monthly volume, not the headline number.

Can it understand Arabic voice notes, or only typed Arabic?
In this region a large share of patients send voice notes rather than typing — especially older patients and anyone messaging while driving. A tool that only reads text will silently fail on those, and you will never see the conversation it dropped. Ask for a live test: send an Arabic voice note during the demo and watch what happens.

Voice notes in Arabic are transcribed, understood and answered like any other message. Our Arabic is Gulf dialect written natively rather than translated from English, and it handles code-switching mid-sentence, which is how people here actually type. Other dialects — Egyptian, Levantine — are on the roadmap and not shipped yet; we would rather tell you that than let you assume broader coverage.

Does it cover every channel your patients actually use?
Most tools start and stop at WhatsApp. If your clinic also runs Instagram — and in aesthetics and dental, Instagram is often where new patients arrive — a WhatsApp-only tool leaves your highest-intent enquiries unanswered. Check that Instagram DM and Facebook Messenger are genuinely included rather than "coming soon", and that they share one inbox instead of three logins.

Is it built on official Meta APIs, or unofficial automation?
This is the question that protects your clinic's number. A meaningful number of cheaper tools drive WhatsApp through unofficial libraries or a logged-in session on someone's phone. It works — until Meta detects it and bans the number. Losing your clinic's WhatsApp number means losing every patient thread on it. Ask directly whether they are on the official WhatsApp Business Platform and whether they are a registered Meta Tech Provider.

What happens when the AI is not confident?
Every AI will eventually meet a question it should not answer — a clinical worry, an unusual complaint, a pricing edge case. What matters is the failure mode. A tool that guesses will eventually tell a patient something wrong in your clinic's name. Ask what the system does when it is unsure, and how a human takes over: can staff step into the same thread, do they see the full history, and can the AI be handed back control afterwards?

Where does patient data live, and how much of it is kept?
For any healthcare-adjacent tool in Abu Dhabi this is the question with regulatory weight behind it. Abu Dhabi's DoH publishes a Responsible AI Standard and a healthcare information security standard (ADHICS), and UAE federal law restricts moving health data offshore. Ask two separate questions — what data is stored, and in which country — and be sceptical of any vendor that answers only the first, or claims full local compliance without detail.

We hold deliberately little: phone number, appointment details and conversation history. No medical records, no diagnoses, no access to your practice-management system. On location we will be straight with you rather than comfortable: our database currently runs on encrypted, SOC 2 / ISO 27001 certified infrastructure in the EU, not the UAE. UAE data residency is on our roadmap and is the first infrastructure investment we are making. If in-country residency is a hard requirement for you today, tell us in the demo and we will say plainly whether we can meet it yet.

How long until it is actually answering patients?
"Onboarding" covers everything from two days to two months. The work is rarely technical — it is collecting your prices, services, hours and policies into something the AI can answer from accurately. Ask who does that work. If the answer is "you fill in a portal", budget for the weekend you will spend doing it.
